Appointments - How to Manage Appointments in the Dealer Space App

Appointments are a vital tool for managing customer interactions and sales opportunities. Here's how to view, schedule, and update appointments in the Dealer Space app.

 

Viewing Appointments

Appointments can be viewed in two main ways: directly through the Dashboard and within individual Customer Profiles.

Viewing Appointments With Dashboard View

  1. Navigate to the Dashboard by clicking the tachometer icon in the left-hand navigation panel.
  2. Select the Appointments tab at the top of the Dashboard screen.
  3. Choose a date range:
    • View appointments for today or select a specific date range, including future appointments.
  4. Review the columns (desktop view) or list (mobile view), where each entry represents an appointment. Each appointment card shows:
    • Appointment date and time.
    • Customer name and type of appointment (e.g., sales, service, delivery).
    • Appointment status: Set, Confirmed, Declined, or Unresolved.

Viewing Appointments by Statuses

  • Set: Tentative status when an appointment is sent to a customer for confirmation.
  • Confirmed: Appointment has been accepted by the customer.
  • Declined: Customer is unable to attend.
  • Unresolved: Past appointments requiring follow-up action (e.g., marking as complete or missed).

Viewing Appointments As An End-of-Day Review

At the end of each day:

  1. Review the day's appointments under the Dashboard tab.
  2. Mark appointments as:
    • Complete: Customer attended.
    • Missed: Customer didn’t attend.

  1. In the Dashboard > Appointments tab, click the + button.
  2. Enter the following details:
    • Customer Name: Select an existing customer or add a new one.
    • Appointment Type: Choose from sales, service, delivery, or other.
    • Date and Time: Set the appointment date and time.
    • Vehicle (Optional): Attach a vehicle from inventory if relevant.
    • Notes (Optional): Add context or details for the appointment (visible to the customer if shared).
  3. Choose an appointment status:
    • Set: Sends the appointment to the customer for confirmation.
    • Confirmed: Marks the appointment as finalized.

Scheduling Appointments From a Customer Profile

  1. Navigate to the Leads tab and search for the customer.
  2. Open the customer’s profile and go to the Agenda section.
  3. Click + Add Appointment and follow the same process as above.

Updating Appointments

Appointments can be updated from either the Dashboard or the Customer Profile:

  1. Open the appointment card.
  2. Modify details such as date, time, or status.
  3. Save changes. All updates are logged in the Activity Feed for tracking.

Customer Interaction with Appointments

Customers can manage their appointments directly from the customer portal:

  1. Appointments marked as Set link to the customer’s appointment page for confirmation.
  2. Use the "Send to Appointment Screen" option in the customer profile to share this link with the customer.

Tracking Appointments in the Activity Feed

All appointment-related actions, including scheduling, status changes, and updates, are logged in the Activity Feed for transparency and reference.



Tips for Managing Appointments Effectively:

  • Use filters to focus on upcoming or unresolved appointments.
  • Schedule within operational hours unless agreed otherwise.
